Seaton Ross Playing Fields Association (“SRPFA”, “we”, “us”) is a charity registered in England and Wales, charity number 513185. We are the controller of personal information covered by this notice.

Information we may collect

Depending on how you contact or support us, we may receive your name, contact details, the contents of your enquiry, information about volunteering or an event, and records relating to a donation. This website does not currently contain a contact form, user account, newsletter sign-up, analytics service or online payment facility.

Why we use it

To reply to enquiries and communicate with volunteers, supporters and community members.
To organise activities, maintain the playing field and administer the charity.
To keep financial, governance or safety records where required.
To establish, exercise or defend legal claims and meet legal obligations.

Our lawful bases

We generally rely on legitimate interests when responding to enquiries and running the charity, legal obligation when records must be kept by law, and consent where we specifically ask for it. Where we rely on consent, you may withdraw it at any time.

Sharing information

We only share information when necessary, for example with service providers acting for us, professional advisers, regulators or public authorities where the law requires it. We do not sell personal information.

Website media

The website’s fonts and main images are stored locally and do not require your browser to contact Google Fonts or an external image host. Following an external link takes you to a website governed by that provider’s own privacy notice.

How long we keep information

We keep information only for as long as it is needed for the purpose collected and to meet applicable legal, accounting or reporting requirements. Retention depends on the nature of the record. We periodically review information and securely delete it when it is no longer required.

Your data protection rights

Depending on the circumstances, you may have rights to access, correct or erase your information; restrict or object to its use; receive a portable copy; and withdraw consent. Some rights are subject to legal limits. Contact us to make a request. We normally respond within one month.
